Portfolio: Piano, General Classes, and Summer

As Registrar & School Engagement Manager, you will handle day-to-day student service responsibilities that align with the Piano, General Classes, and Summer programs, referred to as “portfolio”. This portfolio of programs is a part of a larger team that oversees a spectrum of portfolios for the music school. The Registrar and School Engagement Manager is responsible for overseeing school enrollment and managing the two School Engagement Specialists. Under the direction of the School Director, you are expected to provide our community of students and faculty with exceptional service, support, and program stewardship.

The ideal candidate will be passionate about music education and ensuring that our mission of providing music access to all is at the forefront of school and community engagement activities. School Engagement is a multi-dimensional discipline, requiring constant customer engagement, broad and deep understanding of the organization, excellent communication, and solution-based thinking. You need to be proactive, detail-oriented, and a great team member who wants to play a valuable role at the organization. Strong fluency in the organization’s offerings is essential.

The Registrar & School Engagement Manager is a unique and integral member of the education staff.

Responsibilities:

  • Provide timely, quality service to all returning and new families that engage in our community.
  • Track and manage student portfolios and collect data on retention efforts and strategies.
  • Develop, manage and implement strategies for new students' intake and placement processes while recommending improvements to the system.
  • Serve as lead administrator for the registration process for reenrollment and new enrollments for this portfolio: set up/construction of class schedules, coordination, and communication with faculty, student class placement, and updating website managers with class information.
  • First point of contact for all matters in this portfolio, including adjustments, withdrawals, transfers, and all related registration matters.
  • Oversee all aspects of the registration process. Manage billing for all students in this portfolio.
  • Work with department chairs to ensure student progression through the program through exceptional stewardship.
  • Working with the School Director and Sr. Director of Education and department chairs, assist with new faculty hires, interviews, and orientation.
  • Assist with the administration of the department chairs in your portfolio, i.e.. attend department meetings, recitals, facilitate communication for events, etc.
  • Collaborate with the School Director and Sr. Director of Education to develop and implement a formal student assessment process for faculty and classes.
  • Strategize with the Education Team to plan, implement and assess the execution of programmatic and enrollment goals.
  • Supervise two School Engagement Specialists.
  • Attend Music School events and functions, acting in a leadership capacity.
  • Serves as backup support for the front desk, if needed.

Essential Qualifications:

  • Bachelor’s degree or equivalent experience.
  • Minimum 2 years administrative experience.
  • Proficient computer skills including Microsoft Office, Asana, Google Suites
  • Proven ability to work positively in a shared responsibility team.
  • Possesses a growth mindset and is comfortable incorporating feedback.
  • Demonstrated creative problem-solving.
  • Excellent organizational skills and attention to detail - the ability to manage a large volume of communication with a variety of customers and faculty members efficiently and effectively in a dynamic environment.
  • Able to collaborate effectively with all levels of the organization and across all departments.
  • Professional and engaging interpersonal skills.
  • Able to work both independently and as an effective team member.
  • A reliable self-starter with the ability to roll up your sleeves and assist as needed.
  • Bilingual English & Spanish speaking a plus.

Benefits:

  • Salary: $45,000-$50,000 commensurate with experience
  • Health Insurance (No payroll deduction for individual coverage at this time)

  • HOURS: 9:00 am-5:00 pm
  • Monday-Friday (some Saturdays for events)
