Scope of Position:
The Payroll Specialist will be responsible for all phases of PowerFlex’s US payroll processing to include tax administration, statutory compliance, and tax reporting in a multi-state environment. In addition, this position will be responsible for payroll accounting to include pay component to GL mapping, expense reimbursement, month end accruals, reclasses and balance sheet account reconciliation for all payroll and tax balance sheet accounts. This position will be located in the San Diego, CA (Rancho Bernard area). Responsibilities:
The annual compensation estimate for this role is within the range of $70,238 - $117,063 + the possibility of an additional 35% in incentives. The Payroll Specialist will be responsible for all phases of PowerFlex’s US payroll processing to include tax administration, statutory compliance, and tax reporting in a multi-state environment. In addition, this position will be responsible for payroll accounting to include pay component to GL mapping, expense reimbursement, month end accruals, reclasses and balance sheet account reconciliation for all payroll and tax balance sheet accounts. This position will be located in the San Diego, CA (Rancho Bernard area).
- Payroll processing for US-based employees includes: payroll processing, bonus pay processing, payroll tax filing, and other functions to support payroll processing and adherence to payroll tax legislation
- Remittances for third party deductions, garnishments as well as withholding tax and employer payroll tax as required by our business processes as well as federal, state, and local taxing authorities
- Ensure accurate and timely employer payroll expense and tax reporting through the corporate general ledger
- Maintain current and accurate payroll balance sheet account reconciliations for all payroll transactions as well as federal, state, and local taxes. Ensure accurate and on time governmental reporting and compliance
- Review payroll tax filings, reports, and documents (940, 941, state, and local) as required by the various taxing authorities. Register in new payroll jurisdictions and complete required payroll tax returns
- Ensure all returns and documents are accurately reconciled and filed on time (including employee W2, W2c's and amended tax returns)
- Determine payroll liabilities by approving the calculation of employee federal and state income and social security taxes, and employer’s social security, unemployment, and workers compensation payments. Provide payroll support as needed for worker’s compensation and financial statement audits
- Primary contact for external payroll tax inquiries and compliance with multi-state payroll tax audit activities. Act as key payroll tax liaison with all federal, state, and local taxing authorities or third-party tax service provider
- Work closely with other payroll team members with EDFR, as needed, to research and resolve employee payroll inquiries and issues in a timely manner
- Oversee the payroll leave of absence process to ensure all employees on LOA are paid correctly
- Remit proper 401(k) contributions and matching to the 401(k) administrator. Participate in the annual 401(k) audit as well as conduct proactive reviews on a bi-weekly basis to ensure compliance in all areas in relation to the plan
- Remit benefit contributions to third party administrators, to include HSA’s & FSA’s. Reviews carrier feed errors reports
- Work with managers and employees to manage time with the time & attendance system. Confirm time sheets are correct and properly authorized prior to bi-weekly payroll processing
- Assist with corporate credit card program including issuance, administration, cancellation, and employee vendor setup in accounting system
- Partner with Sales and Accounting department to calculate monthly sales commissions for business development originators
- Assist Accounting department with invoice processing as needed
- Provide customers with any pertinent payroll information by posting in teams chats, channels and answering questions and requests in a timely manner
Education/Experience –
- Bachelor's Degree in Accounting, Finance, or other related business discipline or equivalent relevant work experience
- 5+ years of US payroll processing experience, including Federal and Multi-State Payroll tax administration
- Experience with large global company a plus
- Hands-on, extensive experience with Federal, State, and Local payroll taxes for the US, is required. This includes experience with all tax returns, including quarterly amendments
- Working knowledge of business banking procedures and practices relating to funds transfers, wire remittances, and bank account reconciliations is required
- Experience with the coordination of TPA’s leave management payments while employees are on leave of absences and unemployment audit claim forms any other State payroll audit forms required
- Experience with the 401(k)-audit process in a public company is required
- Understanding of US GAAP is required
- FPC or CPP Accreditation from the American Payroll Association a plus
- Experience with Ceridian Payroll and Report writing is strongly desired
- Experience and knowledge in working with confidential and sensitive information such as PII
- Ceridian Certified a plus
Skills/Knowledge/Abilities –
- Must possess a positive attitude and be able to effectively communicate with a variety of team members
- Self-motivated with strong problem solving and analytical abilities
- Extensive knowledge of US payroll processes and practices, including taxes, is required
- Ability to participate in all payroll related audits – (401(k), workers compensation)
- Ability to play a prominent role as a payroll knowledge expert collaborating with other team members to provide an overall superior payroll service
- Capable of working in a flexible working environment, where collaboration is done remotely
- Practical experience with large scale ERP and Payroll software systems
- Ability to take the lead in researching and resolving payroll problems
- Capable of taking ownership of special projects and effective deliver positive results
- Technical and comprehensive knowledge of payroll processing and payroll taxes
- Ability to provide a complete and thorough review of the quarterly and annual payroll tax returns and work with payroll tax vendor on any issues
- Knowledge with Canada Payroll a plus
