RESPONSIBILITIES:
Telephone Calls:
· Serves as primary individual responsible for answering telephone calls to the practice and taking messages.
· Respond to public and patient inquiries regarding the nature and type of medical procedures.
· Greets each patient warmly, listens carefully, then directs the call appropriately, taking complete messages when necessary.
· Makes appointments on an as-available basis.
Patient Check-In
· Greets each patient warmly upon arrival and determines their needs.
· Advises patient of any delays in the schedule.
· Obtains patient signatures on appropriate forms.
· Confirms with each patient upon each visit that patient information on file with the practice is accurate and up-to-date and that any changes are reflected in the patient’s chart and in the computer.
· Accurately enters new patient information in the computer. Ensures all forms are signed and witnessed.
· Acts as liaison between waiting patients and professional staff.
· Regularly checks patients in the waiting room to ensure each is comfortable.
· Reassures those patients subject to excessive waits and informs clinical staff of status as needed, maintaining patient flow with nursing/skincare staff.
Patient Check-Out:
· Processes patients at conclusion of visit. Reviews fee sheets for correct charges and diagnosis marked; enters information into computer.
· Schedules return appointments for follow-up.
· Ensure we have obtained patient signature on all necessary paperwork before patient leaves.
· Confirm with patient that we have correct patient address information.
· Explains all fees and patient financial responsibility.
· Collects payments, completes encounter forms when necessary, and prints receipts.
· Checks that departing patients appear able to travel safely from the office.
Clerical:
· Prepares new patient charts and pulls charts for established patients.
· Prepares encounter forms and all necessary consent forms for each day.
· Prepares Minor Procedures for Clinic side and OR
· Files charts and paperwork as needed, following approved medical records guidelines.
· Calls patients to remind them of their appointments two days prior.
· Can promptly and efficiently prepare labels, charts, miscellaneous correspondence, etc.
· Emails new patient information packages
· Mails product purchases made by phone.
· Reschedules patients as needed.
· When copies of our medical records are requested, ensures the following:
Proper HIPAA consent of release forms are completed.
Signed consent by the patient is given when request is from a 3rd party.
Only copies of our records are released.
Physician has reviewed material before releasing.
Payment is received before releasing copies of records.
· Ensures furnishings and magazines in waiting area are orderly and clean.
· When copies of medical records are requested, ensure that the “Request for Access to Medical Records Staff Checklist” is followed.
· Follows proper office opening and closing procedures.
· Reviews the schedule in advance to ensure all appointments are scheduled correctly and efficiently.
· Keeps inventory of clerical supplies and reorders as necessary, ensuring that supplies are never depleted.
· Reviews, copies, and distributes correspondence as needed or required.
· Retrieve faxed phone messages first thing in the morning. Review and distribute to appropriate staff.
· Maintain retrieval and distribution of faxes throughout the day.
· Sign for packages and distribute to appropriate areas. If delivery is large, direct delivery person as to where they need to unload.
· Captures email addresses of new patients to email our marketing person monthly using Excel program.
· Edit emails to correct or remove from patient information when received from marketing.
· Performs other duties and assumes various responsibilities as determined by the supervisor.
