Investor Services Senior Associate

West Orange, NJ

Monday to Friday 9:00 a.m. to 6:00 p.m.

We are seeking an Investor Services Senior Associate with 3-5 years of experience to support the investor activities for our Private Equity clients. The candidate will maintain the fund administration system used to manage all investor records, handle investor queries, process investor capital activity, support investor AML/KYC validations, interface with clients as well as manage multiple client deliverables ensuring superior client service and delivery.

Candidates for this position must be eligible to work without sponsorship. Time on-site or time zone may be necessary based on business need.

This position has a hybrid work location with in-office training and client team meetings as needed and remote location available other days.

Some of the things you will be doing:

  • Interact with clients and their investors and support new client Onboard efforts
  • Preparation of investor correspondence (Word mail merge & System Generated Output)
  • Post information to website portal for investors to retrieve
  • Process and report investor activity such as capital calls, distributions, redemptions, etc.
  • Distribute correspondence to investors and potential investors via email
  • Monitor client email accounts and respond to investor inquiries
  • Manage multiple portals and databases (ViewPoint, Investran, Intralinks)
  • Complete subscription document review and processing
  • Complete AML/KYC verification services, including support document validation and screenings
  • Write and update internal policies and procedures, as needed
  • Keep track of multiple deliverables, deadlines, and follow-ups
  • Set-up and/or Review ViewPoint New Investors, Users, and updates
  • Submit and Review Uploads for one-off client requests/needs
  • Review Subscription and Transfer checklists
  • Provide effective feedback
  • Support open projects and provide updates
  • Oversee associate team members, prioritize their assignments, and review their work
  • Support training of new staff
  • Support system enhancements and testing efforts
  • Internal responsibilities (status reports, time tracking, etc.)

What skills, education, and qualifications do you need:

  • Business degree or equivalent experience
  • Excellent verbal and written communication skills
  • Attention to detail
  • Advanced Excel and Word proficiency (VLOOKUP, SUMIF, IF/THEN, named ranges, mail merge)
  • AML/KYC background preferred
  • Knowledge of IR systems and CRM software (Investran and Reporting Services experience a plus)
  • Experience with Investor Portals (Intralinks, Efront, etc) preferred, but not required
  • Strong organizational skill and ability to multi-task
  • Adaptable to new and changing technologies
  • Excellent analytical and problem-solving skills
  • Knowledge of Partnerships, Private Equity, Real Estate or Hedge Funds needed
