A Housing Coordinator ensures all information is properly documented for the clients of Connections Housing in the Event Management and Housing Industry. Their primary responsibility is to provide support and assistance for upcoming assigned events of the Housing Manager utilizing databases, excel and outlook.

Essential Duties and Responsibilities:

· Building events in GroupmaxME, Passkey System (Database). Maintain and support Passkey for multiple events that are rapidly changing, ensuring leadership and supporting team members have all relevant materials and information for each meeting.

· Create and complete weekly various reports in Excel

· Work with Housing Manager to ensure inventory is available for booking

· Assist in the white glove management Staff/VIP and Groups (process reservations, confirmations, cancellations, special handling alerts and amenities as needed; process and confirm room upgrades for various guests.

· Create and cultivate relationships with exhibitor and groups

· Must be proficient in time management and organization

· Works with Outlook Calendar and other systems to keep Manager appraised of upcoming deadlines

· Professional phone and email etiquette

· Be able to critically think to resolve issues arising in an ever-changing fast-paced environment

· Must be comfortable multi-tasking and able to manage your own workload and deadlines

· Support Housing Manager, as needed

· Prepare and edit internal/external correspondence, communications and other documents; maintain databases and spreadsheets for Housing Manager over multiple events.

· File, retrieve documents, gather reference materials, conduct research, and collect data to prepare reports and documents as necessary

· Receive incoming calls and assist where appropriate, evaluate the nature of calls and forward to appropriate departments

· Complete other projects as assigned.

· Perform other job-related duties as requested.

EXPERIENCE And/or EDUCATION:

Required: Location in Las Vegas, NV or Atlanta, GA for IN OFFICE position

· Knowledgeable and proficient in Microsoft Office (word, excel)

· Database experience

· Strong Office & Organizational skills (customer service) and ability to function under time constraints.

· Hotel/Group Reservations, Group sales, Hotel Front office, Convention/Event Services experience

· Assist with incoming calls from clients or guests

· Ability to work independently

· High School diploma or equivalent.

· Able to effectively communicate in English, in both written and oral forms.

· Must have excellent interpersonal skills to deal effectively with all business contacts.

· Must have the ability to plan, organize, and execute multiple projects within established timelines

· Must be able to present information in clear, concise terms

· Detail oriented and demonstrated problem solving skills

Preferred:

· Previous GroupMaxME/Passkey experience

· Bilingual
