Supervisory Responsibility:
Position does not have supervisory responsibilities.
Education/Training:
High School Diploma (or equivalent) required.
Licensure and Certification Requirements:
Basic Life Support (BLS) certification required.
Experience Required:
One to two years of experience in a medical office preferred.
Knowledge of medical terminology preferred.
Previous experience with Electronic Medical Records (EMR) preferred.
Position Summary:
Provides excellent customer service to our patients by greeting, instructing, directing, and scheduling patients. Serves as a liaison between the patient and clinical staff. Maintains patient confidentiality presents themselves in a professional manner.
Essential Job Functions:
1. Greets patients arriving for appointments in a prompt, courteous, and professional manner.
2. Answers clinic phone calls.
3. Determines nature of calls and refers calls to the appropriate person or takes appropriate message.
4. Checks patients in. Verifies completeness of patient demographics and insurance information. Updates all necessary information in the medical record. Obtains electronic signatures and scans insurance cards. Ensures that all necessary paperwork is completed and signed by the patient.
5. Informs patients of their financial responsibility and collects payment for services rendered. Obtains new patient demographic, insurance information, patient history, and signed financial policy. Records and updates changes when necessary.
6. Checks patients out and schedules follow-up appointments.
7. Prepares receipts for cash payments.
8. Reconciles co-pay cash box.
9. Maintains pharmaceutical rep/vendor luncheon schedule.
10. Prepares records for outside requests maintaining HIPAA guidelines.
11. Communicates with coworkers, vendors, and clients with tact and sensitivity.
12. Maintains confidentiality of patient information.
13. Actively contributes to the team effort by volunteering to assist co-workers.
14. Maintains the schedule of the Doctor along with the scheduling of patients.

4. Must possess excellent written and verbal communication skills to clearly relay and retain information to and from coworkers, doctors, patients, patients’ families, and the public in order to develop and maintain effective working relationships with patients, medical staff, and the community.
5. Work Environment:
This position operates in a typical temperature-controlled environment at the front desk of a clinical practice. Work environment generally includes minimal risk of exposure to blood/ bodily fluids. Risk generally includes moderate risk of exposure to infectious disease. This position does include occupational risk of exposure to tuberculosis (Category 2). This position includes a minimal risk of exposure to Hepatitis B.
Physical Requirements:
While performing the duties of this job, the employee is regularly required to speak and hear; regularly required to sit for long periods of time; occasionally required to stand for long periods of time; regularly required to use hands to handle, grasp, or feel objects, tools, and controls; regularly required to walk or use other means of mobility; occasionally required to reach with hands and arms above head and below waist; occasionally required to kneel, stoop, and crouch; and occasionally required to use push and pull motion. The employee must frequently be able to lift or move up to 30 pounds using proper lifting techniques. The employee is required, with or without corrective lenses, to have visual acuity to perform activities such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading; visual inspection; operation of machines; investigating and assessing; determining accuracy, neatness, and thoroughness of work; and to make general observations.
