The Front Desk Administrator will be responsible for managing all aspects of the front reception area and meeting the state licensing requirements as outlined in the Minimum Standards for Child Care Centers. The Front Desk Administrator will promote and instill corporate values, vision and goals. The Front Desk Administrator will foster and maintain positive relationships with academy staff, key host church staff, parents, students, vendors and the local community while providing excellent customer service. This is a critical first impression point of contact and must be treated as such.

This role includes the role of The Curriculum Implementer. This is a designated person at each Academy who has a passion for the education of young children. This person has been identified by the Academy Director as a trusted resource to coach and mentor staff in order to grow their teaching practices and bring tools and resources for the specific needs of their classroom. The Academy Director is the leader for the Academy regarding educational outcomes, and the Curriculum Implementer is an additional resource for teachers as they follow the Director’s leadership in achieving those educational goals. As an on-site resource, the Curriculum Implementer can answer many day-to-day questions as well as direct teachers to the most updated resources available for their specific age group. The Curriculum Implementer will be a go-to resource for curriculum questions and support teachers as they meet the educational needs of every child.

The Front Desk Admin/Assistant Academy Director in Training will be trained in managing all aspects of Academy operations and meeting the state licensing requirements as outlined in the Minimum Standards for Child Care Centers. The Assistant Academy Director will promote and instill corporate values, vision and goals. The Assistant Academy Director will foster and maintain positive relationships with Academy staff, key host church staff, parents, students, vendors and the local community while providing strategic leadership and oversight of the academy.
The Assistant Academy Director will report directly to the Academy Director and have direct reports from Lead Teachers and all other academy support staff.

Excellence in Service

  • Ensure that the first impression of the academy is dynamic, inspiring and fun.

Church Relations

  • Engage host church personnel and visitors professionally and courteously.
  • Work cooperatively with host church Front Desk Administrator to maintain shared reception space.
  • Assist in the cultivation and development of strong relationships with church partners to maintain their satisfaction and ensure their goals are achieved. Contribute to bi-monthly reports on progress and meet with Academy Director to assess effectiveness. Maintain positive communications with key church contacts and communicate academy updates and spiritual highlights to Academy Director.
  • Aid in marketing efforts to cultivate additional church partners.

Reception Area Management

  • Greet and create a positive, professional first impression of the academy via telephone or personal contact.
  • Maintaining a welcoming, organized and professional reception area.
  • Assisting parents on arrival with forms, medicine, tuition payments, etc. and greeting and receiving children.
  • Answering phone promptly and courteously, within three rings, taking messages, and assisting callers with information or directing the caller to the appropriate person.
  • Respond and manage academy email and forward to appropriate departments and/or leaders.
  • Ensure all communication and marketing materials are updated, professional and properly stocked.
  • Lending support for the entire staff as indicated or delegated by the Academy Director.
  • Maintaining a smooth flow of operations at the front desk at all times.
  • Creating, auditing and maintaining child files and ensuring compliance with Child Care Licensing Standards and LCA policy and procedures.
  • Assisting academy leadership in orienting prospective clients and staff.
  • Conducting all contacts with clients, prospective clients, church personnel and staff and visitors in a courteous manner, handling concerns in a professional, caring manner.
  • Submitting timely written and oral reports to the Academy Director outlining needs, problems, and suggestions for program improvement. Keeping Academy Director informed of staff and parent problems or concerns.
  • Other duties as assigned or necessary for the operation of the Academy according to licensing standards and other agency regulations.

Accounts Receivable/Finance

  • Receiving payments from parents and securing funds per academy policy and procedures.
  • Providing receipts for payment as requested.
  • Responding in a professional and courteous manner to all account questions and referring them promptly to the Academy Director as appropriate.
  • Work closely with the Academy Director to follow the Academy's annual financial plan including key outcomes and corresponding budget.
  • Manage weekly/monthly billing using the academy's management software.
  • Collect, post, and deposit tuition payments daily.
  • Collect outstanding tuition and implement academy policies regarding such.
  • Provide weekly tuition aging report to Academy Director.
  • Provide timely and accurate weekly and monthly records and reports - to include bank deposits, billing reports, contact logs and call backs, etc. to Academy Director as requested.
  • Adhere to budgetary guidelines - specifically accounts receivable, labor expenditures and food purchases.

Visionary Leadership

  • Assist in promoting and maintaining the vision, mission and core values of Lionheart Children's Academy.
  • Exercise both professional and spiritual leadership and focus to ensure that the goals and vision for the academy maintain priority.
  • Ensure that the culture of the academy is dynamic, inspiring and fun.

Curriculum Implementation

  • Support teachers as they plan and implement curriculum in their classroom
  • Coach and mentor staff in order to grow their teaching practices
  • Ensure current lesson plans are posted and followed
  • Work with teachers to ensure educational needs are met for all children
  • Provide staff with educational resources
  • Conduct Quality Assurance Checklists
  • Support teachers as they plan and prepare for parent-teacher conferences
  • Review materials for parent-teacher conferences to ensure excellence in all areas
  • Support teachers as they maintain portfolios on each child
  • Review portfolios to ensure excellence
  • Communicate with parents on topics related to education and curriculum
  • Work closely with the Academy Director and keep lines of communication open
  • Lead and train staff in the implementation of the curriculum
  • Maintain positive relationships with all staff
  • Utilize the Heart Hub Education Team as a resource for curriculum related needs
  • Advise on the selection of educational supplies and equipment in the classroom
