The Intake Coordinator position is responsible for inputting data from documents into our case database software with detail and accuracy, Monitoring the Early Resolution Pilot Program inbox, responding to referrals, and running and operating the Early Resolution Pilot Programs virtual mediation rooms. The Intake Coordinator will review each case to ensure that the required data is being captured, ensure that cases are being assigned, and manage virtual mediations and paperwork. The position also requires maintaining and keeping various spreadsheets updated. Required to maintain data integrity, attention to detail, as well as requiring excellent organizational skills. Duties may change with the needs of the program; the right candidate will be flexible and adaptable to change.

PRINCIPAL ACTIVITIES:

  • Opening new cases and emailing within the database (Kintone).
  • Assigning cases to specialists per management.
  • Accurate data entry in database.
  • Maintain and update spreadsheets; in excel and google sheets.
  • Update case information as needed in the database.
  • Maintain, screen and respond to ERPP referrals
  • Manage virtual mediation rooms.
  • Create and monitor mediation DocuSign.
  • Other duties as assigned.

QUALIFICATIONS:

  • Proficient in Excel and Google Spreadsheets
  • Minimum typing requirement 60 wpm
  • Intermediate level Microsoft Office 365
  • Intermediate level of Excel/google sheets
  • Intermediate level of google office tools / sharing process
  • Intermediate level Outlook
  • Consistent accuracy
  • Strong organizational skills.
  • Excellent written and verbal communication.
  • High level of emotional intelligence and interpersonal skills.
  • Team Player
