Job Summary

  • Overview: Dispatchers are responsible for directing and overseeing transportation-related operations within the organization and ensure that staff members comply with safety rules and regulations. This position would mainly be responsible for coordination or transportation services. This includes but is not limited to reviewing transportation applications, transportation requests, scheduling for Sacred Circle Healthcare and other third-party transportation vendors like UberHealth. This position not only requires future transportation coordination, but real-time vehicle/driving tracking and scheduling. Vehicle fleet maintenance coordination is also a large part of this role. This position would also be responsible for providing limited transportation services via SCHC vehicles for patients that need transportation to and from the clinic within a fifteen-mile radius.

  • Work Schedule: To Be Determined with the availability of 8:00 am – 6:00 pm Monday through Friday. Evening and weekend work may be required as job duties demand.

The successful candidate:

  • Coordinates transportation schedule and ensures patients are transported safely to and from the clinic.
  • Coordinates SCHC vehicle maintenance schedules.
  • Plans, organizes, and manages transportation services to ensure work is completed and consistent with company standards.
  • Assists with same day pick up requests. Involves care coordination transportation and deals with adjusting schedules throughout the day.
  • Dispatches drivers based off distance and real time tracking software.
  • Coordinates and monitors third-party transportation.
  • Audits and updates patient transportation status.
  • Audits patient documents for transportation waivers and communicates with drivers and support staff when they are due for a renewal.
  • Processes transportation applications and requests per policy.
  • Documents the patient records as needed per policy.
  • Assists with transportation approvals and transportation scheduling.
  • Communicates transportation status updates to patients/staff, including but not limited to, approvals, denials, suspensions, scheduling changes, confirmations, in route and at location communication.
  • Assists with scheduling transportation, reminder calls, and in route communication.
  • Tracks and communicates transportation no shows to provider teams and the patient.
  • Assists with transportation texts and phone calls.
  • Serves as a backup option for driving as a health transport specialist.
  • Maintains strict patient confidentiality.
  • Treats patients with courtesy and respect.
  • Ensures patients have completed their transportation application waiver.
  • Abides by all clinic policies and procedures.
  • Abides by clinic code of conduct.
  • Performs all other duties as assigned.

Minimum Requirements
  • EDUCATION: A high school diploma or GED.
  • EXPERIENCE: Minimum one (1) year of experience in a customer service setting or as a receptionist, preferably in a medical office setting.
  • CERTIFICATION/LICENSE: Valid Driver License; CPR/First Aid Certified or obtain them within 30 days of employment.

Preferred Requirements:
  • Experience with scheduling transportation and dispatching of fleet.
