Remote Regional Administrative Assistant
Must live near OKC facility
JOB SUMMARY:
This position works closely with region leadership and supports day-to-day regional operations while providing a great environment to learn the IRF business. Collaborating closely with regional team on region initiatives and daily, weekly, and monthly collecting, creating, running and analyzing of operational reports such as census data, operational data, financial data and admissions data. Develops and facilitates processes and tools to optimize regional team for continued performance improvement and growth.
Job Specific:
- Support all region initiatives which can include financial, quality, hospital operations, admissions, and various other areas of the IRF business.
- Communicates with senior leaders from inpatient rehabilitation hospitals across regions of the United States.
- Supporting the corporate team.
- Collect and compile data from various sources into accurate reports. Trend and summarize data and provide recommendations based on findings. Data could be from various areas including payroll, financials, insurance payers, admissions, patient data, turnover, hiring, quality etc.
- May act as project manager or owner of region initiatives.
- Provide recommendations on efficiencies and ways to streamline operations and tasks.
- Coordinate and schedule meetings/calls as needed.
- Ensure communication flows efficiently within region team and to the region teams (typically about 10 hospitals). This entails consistent and efficient use of calling, texting, emailing, and utilizing WebEx/Zoom.
- Utilize a variety of computer programs.
- Various projects and tasks as requested.
- Supporting remote teams across time zones
- Gathering data and pulling reports in a variety of formats and from a variety of systems and creating reports from that data
- Gathering large amounts of information and putting it forth in a succinct manner
- Scheduling virtual and in person meetings across time zones with various availabilities
- Preparing Power Point presentations
- Prioritizing, multi-tasking, follow up and initiative
Qualifications
- Bachelor's Degree strongly preferred, preferably in Healthcare Administration or other Business/Clinical degree
- Knowledge of the intermediate features of calendaring and e-mail, word processing, spreadsheet, presentation, Internet browsers (Microsoft Outlook, Word, Excel, PowerPoint, and Internet Explorer preferred).
- Ability to work in a cross-functional, fast-paced and remote environment.
- Ability to prioritize well and sustain a high level of organization and accuracy in a fast-paced environment.
- Ability to travel 15% of the time.
