We are looking for an energetic and motivated Administrator ready to help an expanding Construction Service Department. This exciting position is responsible for coordinating schedules for customers and technicians, managing administration and office duties for all service work, and providing the Archer Value to our community. This department has doubled in size over the last year and we are looking for the right person that can help us continue to improve throughout our growth.

Benefits for this position include fully paid premiums for health and dental insurance, and 4% match for 401k. Pay is negotiable depending on industry experience.

Qualifications:

  • High School Diploma required
  • Positive attitude, and a willingness to work with all roles of an organization and clients alike
  • Detailed, organized, methodical and consistent
  • Skillful in clear and effective communication
  • A superb team and relationship-building ability
  • Must be self-motivated with excellent time management skills
  • Proficient in managing projects at multiple stages
  • Digital Proficiencies (preferred): Microsoft Word/Excel; Smartsheet – Functions, formulas, verification; Blue Beam

Specific Responsibilities

  • Customer account creation/job site creation
  • Small projects and service job creation
  • Job folder creation and organization
  • Preventative maintenance folder and job creation
  • Assign and dispatch jobs to field technicians
  • T&M and PM scheduling
  • Assist with manpower on Small Projects
  • File pre-liens on all jobs
  • Audit all open jobs for timely progression
  • Audit open jobs for accuracy (detailed notes, correct invoices and hours booked)
  • Invoice review/approval for Service jobs and PMs
  • Invoice creation for PMs, small projects and service jobs for associate accountant to review
  • KPI tracking
  • Incentive tracking
  • Assist in sending bid requests to Sub Contractors
  • Field all maintenance division phone calls
  • Assist Service Managers and Division Coordinator with daily tasks
  • Customer contact for all job-related questions
  • Keep track of on-call schedule/change on call tech every week
  • Backup on-call (fielding calls and creating tickets for on-call technician afterhours)
  • Keep track of emergency service calls
  • Schedule meetings
  • Plan, order and pick up food for in person meetings
  • Take meeting notes and distribute to upper management and technicians
  • Document/smart sheet creation
  • Required schedule is 8:00 am - 5:00 pm Monday-Friday with an hour allowed for lunch everyday
